Employees asked to verify W-2 information in Workday

To prepare for the 2021 tax season and ensure that all W-2s are mailed to the correct address, employees are asked to verify that Human Resources has your most current information on file.

Human Resources encourages all employees to take a moment to log into Workday and verify that the information on file includes the address that should be used to mail your 2021 W-2. Please also confirm the spelling of your name and that your Social Security Number are on file and correct. If you find errors, please update your information.

Take these steps to ensure that you receive your W-2:

  1. Login to Workday.
  2. From the homepage, click on Personal Information.
  3. To view your address, select Addresses under View.
  4. To change your address, under Change, select Contact Information.
    • To begin, select Edit in the upper left corner.
    • To update your information, click on the Pencil icon next to the area you need to change.
    • To complete and save the update, click the orange Submit button when finished.

Electronic copy: For those who prefer an electronic copy rather than having it mailed to them, employees have the option via ADP to opt in/out of receiving a paper copy of their W-2. Opting for an electronic copy eliminates concerns about W-2s getting lost in the mail or being sent to a wrong address. Once the W-2s are made available in early January, Human Resources will provide instructions for  employees to log into ADP and print and/or save the W-2 directly from the site.

Non-Resident Aliens: If you are an employee with a non-resident alien (NRA) status for tax purposes, please make sure that you have not paid FICA taxes (Social Security (OASDI) and Medicare). If you have been paying these taxes, the dollar amount will appear on the right hand side of your pay stub under the heading “Employee TAXES.” Please contact the Payroll Office before the end of the calendar year to have these taxes adjusted. Making adjustments now will create a much cleaner tax preparation process for employees and the university when preparing tax documents for the 2021 calendar year.

Original W-2s for 2021 will be mailed, per IRS regulations, by January 31, 2022 and will be available online via ADP on or before that date.
