Legal Affairs reminds community about automated process for contract review

To help streamline its services, the Legal Affairs and Risk Management Department has automated the process in which faculty and staff can request to have contracts reviewed. Now contracts and/or agreements can be submitted electronically through the Etrieve app, which can be accessed through saintleo.okta.com.

A contract and/or agreement is any document that binds the university to a set of defined terms and conditions and requires a signature. The contract review process is necessary to protect the university and ensure that both the outside entity and the university will be able to meet the terms of the agreement. While the legal team will review the contract, the person responsible for implementing the contract also should carefully review the terms to ensure it outlines the services that were discussed and expected.

The university has restricted the number of administrators authorized to sign agreements on behalf of the university. By going through the contract review process, you can help ensure this protocol is followed.

Legal Affairs and Risk Management ask that contracts be submitted at least two weeks or more before the contract’s expected start date. Some contracts may require substantial time for review and in some cases rewriting.

Here are the steps that you should follow to submit a contract:

  1. Log in to saintleo.okta.com and enter your university credentials.
  2. Click on the tile for Etrieve or find it using the search function.
  3. From the menu on the left, select “Forms,” scroll down to the legal section, and then select “Legal – Contract Review Form.”
  4. Fill in each of the boxes in the form.
  5. Upload the contract needing review.
  6. Then click “Submit.”

Please note that if the contract is to hire an artist, speaker, or performer, a signed Saint Leo artist rider will need to be attached (email staci.shelley@saintleo.edu to get the artist rider). If the contract requires a certificate of insurance from Saint Leo University, be sure to request the certificate in the description box.
